A drive folder, a calendar and an inbox is not a case file
Most practices run on tools that were never designed for immigration work. Documents live in one place, the signed retainer in another, fee records in a spreadsheet, and the actual history of the case in an email thread nobody wants to scroll. It works until a file gets complicated, or someone asks you to account for it.

Configure the applicant types and application streams you work with, so each case starts from the right structure.
Document checklists
Map required documents to each stream, so clients know exactly what to provide and you know what is outstanding.
Digital agreements
Consultation and retainer agreements sent, reviewed and signed in the platform, attached to the case they belong to.
Fee setup
Set legal fees, IRCC fees and third-party fees against a case so the financial picture is explicit from the start.
Submission letters

Consultation becomes a case
When a consultation leads to work, create the case directly from it — the history carries across instead of starting over.

Send the retainer for digital signature and set out legal, IRCC and third-party fees so the client sees the full cost.
